How we handle your information
Samadhan Sarathi client portal
Version 1.1 · 16 October 2026
What this portal is
This portal lets you follow your own case with Samadhan Sarathi, read updates from your case team, see and pay your invoices, and raise support requests. It is only for clients we have invited.
What you see here
You only ever see your own information. It is read live from our own systems each time you open a page: your case details and updates, your invoices, and your support requests. Internal notes, internal case stages and anything not marked for sharing are never shown.
What this portal stores about you
Very little, and no copy of your case papers:
- your email address, so we can send your login code;
- a scrambled form of your login code, which stops working after 5 minutes or one use;
- a login session, so you are not asked for a code on every page;
- an activity record of logins and important actions, with the date, time and internet address used;
- a record of your visits while you are signed in: the pages of this portal that you open, the date and time, how long you stay, your device and browser, and the internet address used. This record is described under “Record of your visits” below.
The activity record exists so that we can see whether anyone has tried to reach your information without permission.
Cookies
This portal uses two small cookies that are needed to log you in safely: one keeps you logged in, and one protects the forms from misuse.
It also uses a visit-recording service, Zoho SalesIQ, which places its own cookies in your browser once you have agreed to this notice. These cookies let us recognise your return visits to this portal. They are not used for advertising. There is no advertising and no other third-party cookie on this portal.
Record of your visits
While you are signed in, Zoho SalesIQ records the pages you open on this portal, with the date and time, how long you stay on each page, your device and browser, and the internet address used. The record is linked to your name and email address and is shown against your contact record in our customer records in Zoho CRM, so that your case team can see how the portal is being used and assist you better.
The record does not include what you type, your case papers or your payment details. It is not used for advertising and is not shared with anyone else. It is held by Zoho on its India data centres.
Who can see your information
You, and the Samadhan Sarathi team working on your case. Our records are kept in Zoho (CRM, Books and Desk) on their India data centres, and this portal is hosted in India. We do not sell your information, and we do not share it with anyone else except where the law requires it, or where you ask us to act for you, for example with an insurer or an ombudsman.
How long we keep it
Login codes last minutes. A login session ends after 30 minutes of no activity, and after 12 hours at most. The activity record is kept for 12 months and then deleted. The visit-recording cookie lasts for up to 1 year. Your case records are kept by Samadhan Sarathi under the terms of your engagement with us, separately from this portal.
Your choices
You can ask us at any time to correct your details, to explain what we hold, or to close your portal access. Closing portal access does not affect your case. You may also ask us at any time to stop recording your visits; this does not affect your case or your use of the portal. Write to portal@samadhansarathi.com.
Keeping your account safe
Your login code is for you alone. Never share it, and never share it with someone who calls or messages you claiming to be from Samadhan Sarathi — we will never ask you for it. If you get a code you did not ask for, tell us at portal@samadhansarathi.com.
Changes to this notice
If we change anything important here, we will show you the new notice the next time you log in and ask you to accept it again.
